Setting Up Your Professional Virtual Office

Create a secure, professional environment that helps you focus on your clients without distractions.

Privacy and Security

Virtual care requires the same privacy as in-person appointments.

Keep your sessions secure by following these steps:

  • Secure your connection: Use a private, password-protected Wi-Fi network.
  • Find four walls: Conduct appointments in a quiet room with a closed door to prevent eavesdropping.
  • Use a headset: Headphones keep member audio private and improve your sound quality.
  • Confirm location: Verify the member's physical location at the start of each session. This ensures you are practicing within your licensed state. (requirements may very for coaching appointments)

Setting Your Digital Frame

Your background and lighting show the member they are in a professional space.

  • Keep it neutral: Avoid cluttered areas in your background or use appropriate filters to blur your background all together.
  • Adjust your angle: Position your camera at eye level. This helps maintain natural engagement with your client.

Staying Present

Distractions break the therapeutic bond. Use these tips to stay focused:

  • Clear your screen: Close any tabs or apps not related to the session.
  • Silence your tech: Turn off all phone notifications and computer alerts.
  • Narrate your actions: For example, if you need to type notes or move your camera inform the member. This shows them you are still listening.
  • Avoid the car: attending sessions in a vehicle shows lack of professionalism and presents potential safety and privacy concerns.

Professional Standards

Treat virtual sessions with the same care you use for in-person visits. Dress professionally and avoid personal tasks like eating or checking your phone during your member's session.
